Job Summary:


To carry out a range of reception and administrative tasks in relation to day-to-day operation of the firm. The receptionist will assist as an office/administrative support and will be responsible for answering incoming calls and directing phone calls professionally, greet clients and visitors in a friendly and welcoming manner. The receptionist is the first point of contact for the firm which requires a positive and polished, professional demeanor.


Tasks and Responsibilities:


  • Receiving visitors by greeting, welcoming, directing and announcing them appropriately
  • Answering incoming telephone calls, screen and determine purpose of callers, forward calls to appropriate personnel
  • Taking and delivering messages when personnel is unavailable
  • Maintain clean reception area; keep common areas clean and organized
  • Scheduling conference rooms
  • Help monitor in keeping the office supplies inventory stocked
  • Deliver incoming packages to appropriate personnel in a timely manner
  • Assist in clerical duties to include faxing, scanning, copying, organizing and maintaining files
  • Support administrative and special projects requirements as assigned or needed


Job Qualifications/ Required Skills:


  • High school degree or GED; customer service experience
  • Polished professional with positive attitude, must be a team player
  • Must maintain proper and professional telephone voice and utilize proper telephone etiquette
  • Strong verbal and interpersonal skills with ability to organize tasks and prioritize tasks as well as multitask
  • Excellent typing skills with proficiency in general Microsoft Office programs (i.e. Outlook, Word, Excel, PowerPoint)
  • Demonstrate excellent organizational and coordinating skills
  • Proven job diligence, attention to detail and accuracy
  • Be self-motivated individual, display initiative and time-management skills
